The Balance of Accounts report displays the allocations, commitments and obligations, current balance, remaining expenses projected, projected total spending, and projected balance for each budget category in the account, as well as totals for both OO and PS (if your user profile allows PS).

How to Access the Balance of Accounts

To access the report use the Balance tab and select Balance of Accounts


Use the Account Navigator or Search Account function to change the Account you are reporting on. See the How to Change Accounts article for more detail. 

How to Customize the Data


  • Include OO+PS or display only OO or only PS. Some users will not have access to PS data. In this case, your option will be limited to only OO data. OC codes 11, 12, and 13 are considered under PS. 
  • Choose to limit data to only the current FY funded money or include prior FY funded money. If the checkbox is marked the report will be limited to only the current FY funded money. This would mean any reimbursements from prior FYs would not be included.
  • Chose to include POTs data by check-marking include Approved Orders and or Pending Requests. If either of these options is selected a new column titled Pending will appear.
  • The Change Category Group link will allow you to change the category groups displayed on the report. As a reminder categories are customized OC code groupings defined by your IC.

 What Data is Displayed?

  1. The Budget Limit, Total Planned (Allocations), and Balance columns in the upper right corner. show the Budget, Allocations, and Balance (Budget - Total Planned) totals for the account currently on the screen, for both OO and PS (if PS is applicable to your user profile). This corner box is a snapshot of the current account.

  • Allocations
Summarized by category group from the manually entered Allocations for the account you are viewing.
Clicking on an "Allocation" amount for a summary account takes you to its Allocation Details by Sub-Account screen. This screen shows a list of allocation amounts for the selected Allocation Category, for every CAN within that summary account. 
Clicking on an "Allocation" amount for a CAN brings up the Allocations by Category screen, which lists the amount allocated to each Allocation category in the account. 


  • Commitments & Obligations 
    Summarized by category group from transactions that have downloaded YTD. Clicking on a "Commitments & Obligations" amount for a summary account or CAN brings up the Monthly Roll up report filtered by the category group selected. The Monthly Roll Up report shows a monthly summary of the expenditures for each CAN under that summary account. 

        

  • Current Balance

The Current Balance is equal to the Commitments and Obligations subtracted from the Allocations.


  • Remaining Projected 
The sum of all manually entered Projections for the account displayed. Clicking on a "Remaining Projected" amount for a summary account or CAN brings up the Projection Details screen, which shows the projections for each CAN under that summary account.


  • Projected Total Spending

The Projected Total Spending column is equal to the Commitments and Obligations plus the Remaining Projected Column.


  • Projected Balance

The Projected Balance is equal to the Allocations minus the Projected Total Spending column
