The Multi-Year search feature allows users to find transactions from previous FYs or to search for all transactions with similar criteria. 


To search for transactions across multiple fiscal years use the top navigation bar, click Multi-Year, and then Transactions Search. 



In the "Search for Transactions" modal, enter one or more search parameters.


The first search parameter defaults to document #. However you can use dropdown to change the search parameter to order number or requisition number. With any of the identifier number searches you can search by an exact or a contains search by clicking on the = sign icon. If the sign is set to = (equals) then the search must match the exact number provided. If the icon is set to the ~ (contains) sign then the result must only contain the string of numbers entered. For example if you are searching for the document number 1234567*8. Then searching ~ (contains) 23456 will locate the transaction. 

The Multi-Year search defaults to searching the past 3 FYs. If you would like to search further back, or between various FYs use the two-period FY drop-downs to define the search parameters.  


If the account scope parameter is set to account, then you must enter an account number in the Account search bar. use the Oldest year to include a drop-down to change the selection. 


The Document # option can be changed to search for Order # or Requisition # by using the drop down.



The Account Scope has three options to select from



Account: Searches a single account for the information provided. This is the narrowest search.

View: Searches transactions that exist in accounts that are in the current view selected.

Entire Database: Searches the entire Beacon Finance Database. This is the broadest scope. Not all users have access to this option


Note that the % is the wildcard character. For example, if you search for Document # 1000% the results will include any transaction where the first four digits are 1000. For example 1000, 10001 1000123 would all be valid results of this search.  If you instead searched %1000 than you would find results such as PUR-1000 or REQ-1000.



If the search is successful, the Search Transactions sub-screen closes, and the Transactions screen comes up, showing a list of transactions that match the search criteria. 


Once on the Multi-Year Transactions page, the functionality is mostly identical to the main transaction page. Refer to the Transactions help guide for how to use the Multi-Year Transaction page.
