You can reach the transactions in a number of different ways. The most common mechanism will be from the Transactions Tab. By using the transactions tab no filters will be set. If you arrive at the transaction screen another way, there may already be some filters set.

Basic Search Options:

At the top of the Transaction screen, there is a basic search (filter) bar. Here you have options to search by:

1. OO/PS (Other Objects or Personal Services)

2. OC Code

3. Categories

4. Accounting Date

5. Processed on Date

6. Download on date

As you change one of these search features the data grid will automatically reload with the new data based on your selection.

Search by OO+PS

You can search by OO+PS or by only OO or by only PS. Some users will not have access to PS data. In this case, your option will be limited to only OO data. OC codes 11, 12, and 13 are considered under PS.

Search by OC Code

When searching by OC code the * symbol is used to represent a wildcard number. Therefore ***.** can be used to search for all OC codes. Similarly, if you search for OC code 11*.** the system will find all OC codes under parent OC code 11. Therefore the system will find 111.01, 111.02, 111.03 etc. You can search by multiple OC codes at once under the More Filters option by using the + icon. See "How to search Transactions (advanced)" for more details.

Search by Categories

Categories are defined by system admins at each IC. Categories are predefined OC code groupings. For example, the category for Salary and Benefits could look like this: 11*.**-115.28+12*.**+13*.**. The available category options that appear in the drop-down are dependent on your category view. Your Category view can be changed under your user profile. See "User Profile" under the admin section to learn more.

Search by Time Frame

The search by time frame drop-down allows you to filter transactions by their accounting/processing/imported on date. If you arrive on the transactions page from the OC details page after selecting a month, this filter will be pre-set. Otherwise, you can use the drop-down to perform quick filters by YTD, month, or quarter.

  • Accounting Date: The official Accounting date as established by OFM. Often times this date is the same as the Processing on Date.
  • Processed on:  The date the transaction was processed by nVision. This is typically the day before the transaction is imported into Beacon
  • Imported on: The date the transaction was downloaded and first appeared in Beacon. Typically the morning after a transaction was processed. A single transaction can be imported into Beacon more than once. If the upstream data source modifies any data field (for example, the description), the transaction will be downloaded a second time.

This filter allows you to filter transactions by the date they were downloaded into Beacon. By clicking the gear icon a drop-down of options will appear.

You may either manually select the active date range by using the date picker or use one of the pre-defined quick filters. Remember, when setting a manual date to click the arrow icon to run your date selection.
