The Vendor Summary report organizes transaction-level data by Vendor. The total obligation, commitment, accrual, and disbursement values charged during the FY year are summarized by Vendor for the Account you have displayed. 


How to Access the Vendor Summary Report


From any page in Beacon Finance first, click on the Actuals Tab. From the drop-down list select Vendor Summary.



How to Customize the Vendor Summary Report


  • Account: Use the Account Navigator or Search Account function to change the Account you are reporting on. See the How to Change Accounts article for more detail. 


You can also choose to show All Accounts in the view rather than report on a single Account. If you choose the All Accounts in the View toggle then all transactions across all accounts in your view will be summarized in this report. 

  • Fiscal Year: Use the FY drop-down found near the top right-hand corner to change the FY data the report uses. Note that the report data is limited to a single FY. 


What Data is Included in the Vendor Summary Report


  • Vendor: This data is populated from the Transaction detail data. Vendors may be duplicated if there is a spelling difference. For example, if there are transactions for NetComm and NetComm Inc. this will show as separate vendors and the dollar amounts will be summed separately. You may also see a line item for Blank Vendor. This represents all transactions that were imported from nVision that do not have data for the Vendor Column.  


  • Obligation/Commitment/Accrued/Disbursed: The dollar amounts from the transaction details are summarized for each vendor. Note: When looking at prior FY data only transactions that occurred before the Fiscal Year close are included in the summarization. If an accrual or disbursement was made to a Vendor after the end of the FY close this will not be reported here 


  • Percent of Total Obligations: The sum of obligations to a single vendor divided by the total sum of obligations to all vendors. For example, if the sum of total obligations in the report is $1,000 and a single vendor was obligated $100 the percent of total obligations would be 10.00%


  • Percent Disbusered: The sum of the amount disbursed to a vendor divided by the sum of the amount obligated to that vendor. For example, if a vendor was obligated $100 and $90 was disbursed the Percent Disbursed would be 90.00%.
