Basic Filters


1. Account Navigator: Displays the account you are viewing data for. Click the Account name to change accounts or use the Find Account text box to jump to a new account


2. OO/PS: Other Objects or Personal Services drop down. Personal Services are costs associated with employee salary and benefits. Other Objects are all other expenses. Filter by both or one or the other.


3. Account/All Accounts in the View: Use the Radio toggle to switch between displaying data related to a single account (CAN or summary level) or to all accounts in the view. If you are viewing the master view then All accounts in the view will display all data available in the data base. If you are using another view this will show the accounts that are found in the view you are displaying


4. OC Code: Search for a specific OC code using the OC code text box. You can search for an exact OC code match or all OC codes underneath a parent OC code. The * symbol represents a wildcard value (0-9). For example, enter 111.18 to find OC code 111.18 or enter 11*.** to find all OC codes under parent 11.


5. Imported On: Use this filter to find transactions that have been downloaded into Beacon on a certain date range. The default Imported on YTD shows all transactions for the FY you are viewing. You can use the date picker to change your search settings to find only recent transactions or transactions from a certain day/week/month/etc.




More Filters


If there is a scenario when you need to search for a specific transaction you can use the More Filters feautre. 


Click More filters and a drop-down panel will emerge with additional filtering options. 


Type a search value in one or more text box and click Apply Filters. 


As you type, options will appear below the text box for results that appear in the data set. 


If you do not know what to search for you can click the gear icon and a page listing the available options will load.


Tip: use the % symbol as a wildcard before and or after your search value. For example, if you are looking for document # PUR658637*1 and REQ658637*2 you can search %658637% and the system will find both transactions. The % before and after the search results allow Beacon to look for any transaction that contains 658637 somewhere in the document number.
