If an incoming position is filling an existing vacant or recruit record in Beacon HR, a user will need to enter the employee’s first and last name, as well as any other crucial key identifiers such as NED ID.
How to Find the Vacancy/Recruit that needs to be Filled
First, navigate to the planning record you would like to fill. You can find this record from the Position List by using the basic and the more filters:
Set the basic filters to Recruits and Vacancies and Today + Future. You can also use more filters to search by a specific position title.
Finally, click on the employee name that matches the Recruit/Vacancy that you are looking to fill.
How to Fill the Position
From the positions, details page click the Fill Position Link.
This will take you to the Position Wizard. To learn how to complete the position wizard review the How to Add a Planning Record article.
- If the employee is new to the institute, select "A person who is new to my institute."
- If the position is to be filled by an existing institute employee, select “An existing employee at my institute.”
Continue stepping through the Position Wizard by entering any important Vice and Position Information.
Select Finish to complete filling your vacant or recruit position.
