How to use the More Filters


Users can run custom reports in Beacon HR using the More Filters.  This feature brings up an advanced search panel, which lets you apply more granular search conditions.



Basics of how to use the Panel

  1. Add filter(s)
  2. For each filter: 
    • Use the first column to select a data field to search by 
    • Use the second column for how you want to search the data field
    • Use the third column for what data you want to match
  3. Click Apply Filter Set

Within the panel, begin creating filtering options by clicking Add Single Filter or Add Group Filter




        When to use Single Filter vs Group Filter


  • When using single filters the result must meet all distinct single filters set. For example, if you search by the single filters: 

The results in the data grid will yield only those employees who are GS employees AND in CAN 8012345.


  • When using group filters the results must meet only one of the filters within your group. For example, if you searched by a filter group, with the filters:



The results in the data grid will yield any employee that has any one of those three pay plans. In other words, any employee that is either an RG or RF or CC.  This is a more inclusive search parameter. 


Note: You can combine single and filter groups! For example, you can search by these filters: 



The results in the data grid will be of employees in CAN 8012345 who are either in pay plan RG or RF. 

 


        How to add more filters to a filter group


When creating a filter group, click the add filter icon, as seen below, to add more options to your group. 



        How to find columns to search by


There are over 200 data columns to search by!  To help find columns we prefilter the columns visible from your home page to the top of the list. For example, the columns highlighted in the red box are currently visible on the data grid and therefore, the filter to the top of the list. You can edit what columns appear on your home page and, therefore, filter on this list by using the column preferences icon. (See "How to add data columns to Beacon HR" to learn more) Beyond these first columns, the rest of the data points are organized by common groups. 



        What does the second search column do?


You can use the second drop-down to change how you are searching by the column you have selected. 


  • Equals: The results must equal the data you entered. (Note the results must match the data entered exactly.)     Results: employees that are in Admin Code HN1
  • Not Equals: The results must not have the data you entered.     Results: employees in admin codes that are not in HN1
  • Contains: The results have part of the data you entered in the column you searched     Results: employees that have a position title that contains scientist. ex Staff Scientist and Scientist Emeritus
  • Not Contains: The data you entered must not be found somewhere in the results.    Results: All contractors that do not work for NetComm. Useful to find exclusionary data.
  • Is Blank: The employee does not have data in Beacon for the column you selected    Results: All employees who do not have an email address in Beacon.
  • Not Blank: Employees that do have a data point for the field selected    Results: All employees who have a Pending Fellow Award
  • List: This allows you to enter a list of search parameters, each separated by a comma. For example, you can use the list option when looking for multiple CANs or Admin Codes. 

            Results: All employees in CAN 1101111 and 8012345 and 8023456

  • Not in List: This allows you to enter a list of search parameters you do not want in your results. Similar to the List funciton
  • > , >=, < , <=: Greater than, Greater than or equal to, Less than, Less than or equal to. Useful when searching by numeric or date fields. You can use both a greater than and less than function to find results in a specific date range.     Results: All employees who have a VISA date after 7/1/2021 thru 12/31/2021


        How can I edit and see what I filtered by?


After you search the applied filters will show below the Show All Filter Values button with an X to the right of the filter.  To remove a filter click on the X.  The Show All Filter Values button can be open and closed to show or hide the filter results. To restart your search from scratch click the Reset button. 


Common Issues and FAQ:


If you do not see employees you were expecting:

  • Check your filter list for reasons they were excluded
  • Has the employee record been downloaded yet? For FTE employees Beacon downloads new records the Thursday after their first payroll.
  • Check the date range. If you are searching by "active today" they may be employees onboarding in the future or have a Planned NTE date that is in the past. 
  • Permission issues: You may not have access to an admin code. Reach out to support@netcomm.net for help. 

If the data for an employee looks incorrect:

  • Verify that you are viewing official or Beacon modifiable data. Beacon often keeps two pieces of data for the same field for an employee. For example, the official Admin code may be HN1 but the entry has been modified in Beacon to be HN1C. This will result in different results when viewing data by Offical or Modifiable. 
  • Check with support@netcomm.net if there has been a download issue.
